Our Process

At TheBookJedi, we value structure just as much as creativity. To ensure smooth collaboration and high-quality results, here's how our process works—both generally and service by service.

General Guidelines

1. Bookings Are RequiredEvery project begins with a booking. Without a confirmed booking, your project will not be added to our work schedule.2. Turnaround Time Starts from the Booked DateOnce your project is officially booked, the turnaround time begins counting from the booked date— not the date of inquiry or payment.Turnaround Time by ServiceBook Cover Design: 2–3 business days

3. Express Projects (Urgent Jobs)If you need your project faster than our standard timeline, an express fee applies. This covers the added workload and reprioritization of our queue.4. Payment Terms
A 50% deposit confirms your booking. The remaining 50% is due before project delivery.


Service Breakdown

Book Cover Design

Fiction Cover DesignStep 1: Booking & ConsultationOnce your booking is confirmed with a 50% deposit, you'll have a concept discussion with our cover designer—scheduled 2–3 days before the booked start date. This meeting helps us understand your story, vision, and design preferences.Step 2: Design & DraftWe design ONE cover concept based on the discussion. Additional samples or alternative concepts are charged as a separate cover design project.Step 3: RevisionsWe offer unlimited revisions on the agreed-upon concept until you're satisfied. Please note that extensive revision rounds may affect delivery time.Final Delivery- JPEG (for digital)

Post-Project Support- Collaboration on social media for your cover reveal or release day

Revisions after 2 weeks of project completion may attract extra charges.Non-Fiction Cover Design(Same as fiction, with one key difference)Design DraftsYou’ll receive two sample designs to choose from. Once a design is chosen, we proceed with revisions as needed on that version.

Interior Formatting

Step 1: Bookings & ConsultationBookings are confirmed with a 50% deposit for fiction formatting, or a flat ₦10,000 deposit for non-fiction formatting.The manuscript must be submitted at least a day before the booked date. We schedule a brief meeting 2-3 days before the booked date with the client to discuss formatting goals, preferences, and expectations for the final book layout.Step 2: CostOur fiction formatting cost is based on word count, and the total cost is calculated before the project starts.However, our non-fiction formatting costs are calculated after formatting is complete because it is based on the total number of pages. The initial ₦10,000 deposit secures your slot, and a final invoice is sent after formatting is completed and page count is determined.Step 3: Sample PreviewFiction: The first 3 chapters are formatted and sent to the client for approval.Non-Fiction: The first chapter is formatted and sent to the Client for approval.Step 4: Full FormattingOnce you approve the sample, we proceed with the full manuscript.Revisions PolicyFormatting-related changes: Free & unlimited
Corrections due to editing/proofreading issues (e.g., grammar, typos): Charged separately
Late-stage content edits or late-stage client formatting-related changes not communicated initially: Charged as extra

Editing and Proofreading

Step 1: Booking & DepositYour editing or proofreading slot is secured with a 50% deposit.Step 2: Manuscript SubmissionWe request your manuscript in a Google Docs format, shared with editing permissions.Step 3: Collaborative Editing Begins
This starts on the booked date and our editors/proofreaders are added to the document. They’ll go through the text line by line, leaving suggestions and comments using Google Docs’ built-in tools.
This method allows you to:
- Approve or reject changes in real time.
- Track all edits made.
- Ask questions or provide clarification directly in the document.
Your Rights, Your VoiceAs the author, you have full control to accept or reject any changes. We guide—you decide.Final Note
The editing duration can be affected by the manuscript length and responsiveness during the suggestion-review process.

Book PullsStep 1: Booking & Manuscript SubmissionConfirm your booking with a 50% deposit, and send us your manuscript in PDF or EPUB format via email.Step 2: Deep Dive ReadingOur team reads through your manuscript to identify compelling hooks, punchy lines, and powerful quotes that can be used for:
- Social media
- Book blurbs
- Launch promotions
- Author branding
Step 3: Final DeliveryYou’ll receive a curated list of quotes and hooks in a clean Microsoft Word document, ready to copy, paste, and post.Promotional MaterialsPromotional designs (like social media graphics, reels, trailers) follow a streamlined version of our cover design process.Step 1: Booking & ConsultationAfter your booking is confirmed with a 50% deposit, we’ll schedule a brief meeting to understand your needs, preferred style, audience, and any branding elements you want to include.Step 2: Design & DeliveryOur designer creates your promotional assets within the standard 2–3 business day turnaround (from the booked date).Step 3: Final DeliveryFiles are delivered in JPEG format, ready to post or share across your platforms.Need different sizes for Instagram, Facebook, or WhatsApp? Client Responsibilities

1. Timely Booking & Deposit PaymentProjects only begin after a confirmed booking and a 50% deposit. Delays in booking may affect available slots.2. Timely Submission of Required MaterialsManuscripts should be sent at least 1 day before the booked date. Branding assets, cover concepts, reference images, author bios, and other required materials should be submitted on or before the booked date.3. Active Communication.Clients should be reachable and responsive during the project timeline, especially for approvals, revision feedback, or clarifications. Unresponsiveness can delay your delivery.4. Respect for Process & TimelinesOnce booked, please stick to the agreed timeline unless you formally request a reschedule.Repeated delays on the client’s part may result in your project being moved back or rescheduled entirely.5. Revision ClarityProvide clear, consolidated feedback during revisions. If your requests are vague, contradictory, or frequent, delivery time may increase—and additional fees may apply for out-of-scope changes.6. Ownership of Final DecisionsYou have full creative control, but with that comes responsibility. If a change is approved by you, we consider it final unless stated otherwise.7. Final Payment Before DeliveryYour final files will only be delivered once the full payment has been made. Please ensure balances are cleared promptly.8. Respectful ConductWe’re a creative team, not a tech support hotline. We appreciate professionalism, patience, and kindness—and we promise to offer the same in return.

Payment Terms & Policy

At TheBookJedi, we believe in transparency and fairness. To keep things smooth for everyone, here’s what you should know about our payment process:1. A 50% deposit is required to secure your booking. Without this deposit, your project is not added to our schedule, and we do not begin work—regardless of whether materials have been submitted.2. Deposits are non-refundable. Booking a slot means we reserve time and resources specifically for you, turning away other clients during your slot.3. Final payment is due before delivery. We’ll notify you once your project is ready, and the remaining 50% must be paid before we send your final files.4. Urgent or express projects (those required earlier than our stated turnaround times) attract an additional express fee. This helps us reshuffle priorities to serve you faster.5. Late payments may cause delivery delays. If the balance is delayed, your final files will be postponed, and your project may be moved in the queue.6. Changes outside the agreed scope may require additional charges. If you request changes that go beyond the original agreement (e.g., new designs, extra formatting, content changes), we’ll provide an updated quote.Accepted Payment Channels:For clients in Nigeria: Bank transfer
For international clients or foreign currencies: We issue an invoice link for secure online payment

Revisions

At TheBookJedi, we believe in getting things right—and that takes collaboration. Here's how we handle revisions and changes across all services:1. Revisions are welcome —within reason. Most of our services come with unlimited revisions on the agreed-upon concept or sample (e.g, one cover concept, one formatted sample). However, we encourage clear, consolidated feedback to avoid unnecessary back-and-forth.2. Revision rounds affect timelines. The more revision rounds required, the longer the turnaround time may become. Please factor this in when giving feedback.3. Scope changes = new quote. If you request work that falls outside the original agreement—such as a new cover concept, major redesign, re-editing a newly revised manuscript, or starting over—we'll issue a new quote or invoice.4. Formatting corrections: Errors due to our formatting are corrected for free. Changes caused by editing/proofreading updates (not related to formatting) after formatting is complete may attract extra fees.5. Post-project changes: Revisions requested more than 2 weeks after a project is completed may be treated as a new task and charged accordingly.If you’re ever unsure whether something is a revision or a new request, just ask—we’re happy to clarify.

Communication Guidelines

Clear and respectful communication helps us serve you better—and faster. Here’s what you need to know:Preferred Channels:We primarily communicate via WhatsApp, Instagram, and Email. These platforms help us track requests, share updates, and stay organized.Response Time:
We aim to respond to all messages within 24 business hours. If there’s ever a delay, we’ll do our best to keep you informed.
Working Hours:
Our working hours are 08:00 – 20:00 (GMT +1). Messages sent outside this timeframe may experience a delay in response, sometimes until the next business day.
Please Be Considerate:
We encourage communication, but kindly avoid sending frequent follow-ups in short intervals. We’re working on your project—promise.
Send Consolidated Feedback:
Whenever possible, gather your feedback into a single message or email. This helps us respond more efficiently and avoid missing anything.

Final Deliverables & Post-Project Support

Once your project is completed and final payment is made, we’ll send over all your agreed deliverables.These may include:
1. Book Cover Files – JPG (digital use) & PDF (print-ready paperback)
2. Formatted Manuscripts – PDF (for print) and EPUB (for ebook)3. Editing Files – Google Docs with comments and suggestions4. Promotional Materials – JPG images for social media5. Book Pulls – A Word document with hooks, quotes, and captionsDelivery Method
